Privacy Policy
How K&N Contracting collects, uses, shares, and protects information in our online portal.
The short version. We collect what we need to do restoration work at your property, document it, bill for it, and support your insurance claim. We share it with your insurer and the vendors working your job, and with the service providers that run our software. We do not sell your personal information, and we do not share it with advertisers. You can opt out of our newsletters at any time without affecting the updates about your job.
1. Scope
This Privacy Policy explains how K&N Contracting (“K&N,” “we,” “us”) handles information in our online portal at https://www.knwaterrestoration.com(the “Service”). It applies to customers, to our team members, and to vendors and subcontractors who use the Service. It is part of our End User License Agreement & Terms of Use.
It covers the Service specifically. Information you give us in person, by phone, or on paper is handled consistently with this policy but is not limited to it.
2. Information we collect
Information you give us
- Account and contact details— name, email address, phone number, mailing address, company name, profile photo, and your role.
- Sign-in information— a securely hashed password, or, if you use Google to sign in, the identifiers Google returns to us. We never receive your Google password.
- Property and loss details— the address and description of the affected property, date and cause of loss, water category and class, affected areas, and related notes.
- Job documentation— photographs of your property, moisture readings, drying and equipment logs, scopes, estimates, line items, and inspection notes. Photographs of a loss frequently show the inside of a home and personal belongings.
- Messages and documents— messages, notes, files, and email correspondence exchanged through or connected to the Service, including attachments.
- Insurance information— carrier, claim and policy numbers, adjuster contact details, and claim correspondence.
- Signature records— when you sign a document electronically, the signature you type or draw, your name, the date and time, and the IP address of the device you signed from. We record these to make the signature legally reliable, and they appear on the resulting document.
- Payment information— processed by our payment processor. We receive confirmation, amount, and status; we do not store your full card number.
- Team and vendor information— for people working for or with us: time entries, job assignments, expenses and payouts, quotes, and licensing or insurance documentation.
Information collected automatically
- Session and device data— we set cookies that keep you signed in. These are strictly necessary; the Service does not run advertising or third-party tracking cookies.
- IP address and activity logs— we log actions taken in the Service (who changed what, and when) for security and audit purposes.
- Push notification identifiers— if you enable notifications, the subscription your browser or device issues.
- Address lookup— when you type an address, we use Google Maps to offer suggestions, which sends what you type to Google. We do not track your device location in the background.
3. How we use information
- To schedule, perform, document, and warrant restoration and construction work.
- To create and support your insurance claim — scoping the loss, preparing estimates, and corresponding with your carrier and adjuster.
- To communicate with you about your job (see section 4).
- To bill, collect payment, and keep accounting records.
- To coordinate assignments, quotes, and payouts with vendors and team members.
- To secure the Service, investigate misuse, and maintain an audit trail.
- To comply with legal, tax, insurance, and record-keeping obligations.
- To send you promotional messages, subject to the opt-out in section 4.
We do not use your information for automated decision-making that produces legal effects about you, and we do not use it to train third-party artificial intelligence models.
4. Email and other communications
Because email is central to how we work with you, here is exactly what we send and what you control.
Service messages (no opt-out)
These relate to your job, your account, or a transaction, and we send them because you have an active job or account with us:
- Job status and progress updates.
- Appointment confirmations and visit reminders.
- Messages, notes, and replies from our team.
- Estimates, work authorizations, contracts, and direction-to-pay forms sent for your review or signature, and confirmations once signed or declined.
- Invoices, payment receipts, and payment reminders.
- Sign-in links, account invitations, and security notices.
You can turn off individual notification categories in your settings where that option is offered. Some messages — a sign-in link you requested, a document requiring your signature, a billing notice — are sent regardless, because they are necessary to perform our contract with you.
Promotional messages (opt out anytime)
We may send newsletters, seasonal and maintenance reminders, and information about our services. Every one of these includes an unsubscribe link and our postal address, as required by the CAN-SPAM Act. To stop them, use that link or email admin@kandncontractingtx.com with “Unsubscribe” in the subject. We honor requests promptly and within 10 business days at the latest. Unsubscribing from promotional email does not stop service messages about your job.
Push notifications
If you allow them, we send push notifications to your browser or device. Turn them off in your account settings or in your browser or device settings.
Phone and text
We may call or text you about your job using the number you give us. Standard message and data rates may apply. Reply STOP to any text to stop texts.
Sender address
Our email is sent from the K&N mailbox at admin@kandncontractingtx.com. Replies reach us, and you can always contact us there or at 682-287-2989.
5. How we share information
We share information in these circumstances, and not otherwise:
- With your insurer.If your work involves an insurance claim, we share documentation of the loss — photographs, moisture and drying logs, scopes, estimates, and correspondence — with your carrier, their adjuster, and their representatives, so the claim can be adjusted and paid.
- With vendors and subcontractors. Those assigned to your job receive what they need to do it: property address, scope, schedule, and relevant photographs.
- With our team. Access inside the Service is limited by role.
- With service providers who run our software on our behalf, listed in section 6. They may use the information only to provide their service to us.
- With professional advisors— our accountants, attorneys, and insurers — as needed.
- For legal reasons— to comply with law, subpoena, or lawful request; to enforce our agreements; or to protect the rights, property, or safety of K&N, our customers, or others.
- In a business transfer— if we are involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction.
We do not sell your personal information. We do not share it for cross-context behavioral advertising, and we do not give it to data brokers or advertisers.
6. Service providers
The Service depends on these providers:
- Microsoft Azure— hosting, database, and file storage.
- Intuit (QuickBooks Online)— accounting and invoicing (see section 7).
- Stripe— payment processing. Stripe handles card details directly under its own privacy policy.
- Google— optional sign-in, and address autocomplete and mapping.
- CompanyCam— job site photography, where used.
- Our email provider— sending and receiving job-related email.
7. QuickBooks Online (Intuit)
We connect the Service to our own QuickBooks Online company file so that estimates, invoices, deposits, and payments recorded here stay in sync with our books. This connection is made and controlled by K&N administrators only.
- What the connection covers. We request accounting scope only. We use it to create and read customer records, estimates, invoices, deposits, and payments.
- What we send to QuickBooks. Customer name, contact details, and the billing information needed to raise an invoice or record a payment for your job.
- What we do not do. We do not access QuickBooks payroll, and we do not use QuickBooks data for advertising, or share it with anyone other than the providers in section 6.
- Tokens.The access and refresh tokens authorizing the connection are stored in our database and used only to reach Intuit’s API. An administrator can disconnect at any time in the Service’s settings, which revokes our access.
Intuit’s handling of information in QuickBooks Online is governed by Intuit’s own privacy policy.
8. Data retention
We keep information for as long as we need it for the purposes in section 3 — generally, for the life of the job and then for as long as required afterward for legal, tax, insurance, warranty, and record-keeping reasons. Signed documents, job documentation, and accounting records are typically retained for several years, because claims, warranty questions, and disputes can arise long after work is finished. When information is no longer needed, we delete it or keep it in de-identified form.
9. Security
We protect information with encryption in transit, hashed passwords, role-based access control, single-use and time-limited sign-in links, and audit logging. No system is perfectly secure, and we cannot guarantee absolute security. Please tell us at admin@kandncontractingtx.com if you suspect a problem with your account.
10. Your choices and rights
- Access and correction— you can view and update your profile in the Service, or ask us for a copy of the information we hold about you.
- Deletion— you can ask us to delete your information. We will, except where we must keep it for legal, tax, insurance, warranty, or accounting reasons, or to resolve a dispute.
- Marketing opt-out— unsubscribe from any promotional email, as described in section 4.
- Notification settings— adjust categories in the Service, and turn off push notifications in your browser or device.
- Closing your account— contact us and we will close it, subject to the retention rules above.
Texas residents have rights under the Texas Data Privacy and Security Act, including the right to confirm whether we process your personal data, to access and correct it, to request deletion, to obtain a portable copy, and to appeal if we decline a request. We do not sell personal data or use it for targeted advertising, so there is nothing to opt out of in those categories. To exercise a right, contact us using section 12. We will verify your identity before responding, and will respond within the time the law allows. If we decline, we will explain why and how to appeal.
11. Children
The Service is for adults and is not directed to children under 13. We do not knowingly collect information from children under 13. Photographs of a home may incidentally show household members; that material is treated as job documentation under this policy. If you believe a child has given us information, contact us and we will delete it.
12. Changes and contact
We may update this policy. We will revise the version and effective date at the top of this page, and give notice through the Service or by email if the changes are material.
